Overview

We are looking for an amazing Administrator to facilitate various projects in the Human Resources Department including the skills inventory project. This position will be responsible for designing, developing, implementing, and maintaining a comprehensive skills inventory database for the membership of Saulteau First Nations. This role will support employment initiatives, training programs, community planning and economic development strategies by capturing, organizing, and updating information on the skills, qualifications, and work experience of SFN members. In addition to managing the database, the administrator will assist with other Human Resources projects and initiatives as needed, contributing to the overall goals and capacity of the Human Resources department.

Duties and Responsibilities

  • Design and develop a functional and user-friendly skills inventory database tailored to the needs of Saulteau First Nations.
  • Collect and input data related to member skills, certifications, education, work experience, and training.
  • Engage with community members to encourage participation and gather information through interviews, surveys, and outreach.
  • Maintain the integrity, accuracy, and confidentiality of all data collected.
  • Regularly update the database to reflect new skills, certifications, or changes in member status.
  • Produce reports and summaries to assist leadership and staff in planning, decision-making, and funding applications.
  • Collaborate with Employment & Training and Education departments to align the database with program needs.
  • Provide training and support to staff on how to use the database and interpret the data.
  • Ensure compliance with privacy regulations and data security best practices.
  • Monitor and evaluate the effectiveness of the system and recommend improvements.
  • Assist with other Human Resources projects and administrative tasks as assigned, including support for recruitment, data analysis, employee engagement initiatives, and policy development.

Ideal Qualifications and Experience

  • Minimum of High school diploma or equivalent with two (2) years of administration experience.
  • Post-secondary education or training in administration, human resources, or information management is an asset.
  • Basic computer skills, including familiarity with Microsoft Excel, Word, and internet-based tools.
  • Willingness to learn new software and systems, including databases.
  • Strong interest in working with and supporting community members.
  • Previous experience in an office, administrative, or community-facing role is an asset.
  • Understanding of or willingness to learn about Saulteau First Nations culture, values, and community priorities.
  • Criminal Record Check and Financial Checks, with results acceptable to SFN.

  • Excellent attention to detail and a high degree of accuracy.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills; comfortable engaging with community members.
  • Understanding of data privacy, confidentiality, and ethical handling of personal information.
  • Knowledge of Saulteau First Nations’ values, culture, and community is considered a strong asset.
  • Ability to think critically and offer solutions to improve processes and systems.

Work Conditions

  • Work is performed primarily in the office Monday to Thursday from 8:00 a.m. to 4:30 p.m.
  • Travel may be required within SFN community and surrounding community.
  • Manual dexterity required to use desktop computer and peripherals.
