Job Purpose
The Medical office assistant (MOA) supports the Mental Wellness team by performing a wide variety of clerical and administrative tasks. These include, for example, scheduling appointments, word processing, bookkeeping, accounting, photocopying, filing, answering the phone, and correspondence.
Duties and Responsibilities
Health Care Administration
- Answer the phone, schedule and confirm medical appointments, greet patients, receive and communicate messages.
- Use health software, and other computer applications, to book appointments or prepare documentation.
- Use a computer to prepare, key in, edit, and proofread medical records, reports, articles, case histories and correspondence from machine dictation, shorthand and handwritten notes.
- Create reports, invoices, financial statements, letters, case histories and medical records.
- Assist patients in completing health history and intake forms.
- Transcribe, from handwritten notes, electronic dictation, or oral instructions.
- Performs medical related invoicing (billing), or insurance submissions or claims.
- Processes payments, bank documents, and accounts receivable.
- Set up and maintain records management systems. This includes classifying and coding electronic, and hardcopy files.
- Operate office equipment; this includes voice mail messaging systems, photocopiers, fax machines, and document scanners.
- Keep examination areas clean, orderly, and stocked with supplies.
- Take patients in and out of examining rooms and clean the room between the patients.
- Use word processing, spreadsheet, database, and presentation software to prepare medical documentation.
- Perform other clerical and administrative functions. This might involve, for example, ordering and maintaining an inventory of supplies.
Qualifications and Skills
- Medical Office Assistant Certification.
- 3-5 years health care experience in a hospital or clinic setting
- First Aid, CPR-C.
- Experience working within in a First Nations community is an asset.
- Emergency and triage training.
- Honest, trustworthy, respectful, and compassionate.
- Possesses cultural awareness and sensitivity.
- Ability to build trust, serve as a positive role model and maintain confidentiality.
- Valid BC Driver’s License.
- Ability to pass a Criminal Records Check.

Work Conditions
- Work is performed primarily in the office with hours of work set as 8:00 a.m. to 4:30 p.m. Monday through Thursday.
