Overview

The Governance Executive Assistant provides confidential and professional administrative support to the Governance Department. This role supports the Communications Specialist, Indigenous Registry and Membership Administrator (IRA), and the Grant Writer/Policy Analyst, as well as general administrative functions for the department. The position requires strong organization, attention to detail, and the ability to manage multiple priorities while maintaining a high level of confidentiality.

Duties and Responsibilities

  • Provides day-to-day administrative support to the Governance Department.
  • Coordinates calendars, schedules, and meetings for Governance staff as required.
  • Prepares meeting agendas, packages, and supporting documents.
  • Records meeting notes, action items, and follows up on assigned tasks.
  • Drafts and formats correspondence, reports, policies, proposals, and other Governance documents.
  • Organizes, files, and maintains Governance department records (digital and paper).
  • Supports communications needs by assisting with notices, announcements, and distribution of materials as directed.
  • Supports the IRA position by assisting with confidential file preparation, document organization, and scheduling as directed.
  • Supports the Grant Writer/Policy Analyst by assisting with document formatting, file organization, and tracking deadlines as directed.
  • Assists with travel arrangements, room bookings, and meeting logistics as required.
  • Maintains professional and respectful communication with staff, leadership, and community members.
  • Acts as a positive representative and role model as a representative of SFN.
  • Supports Governance processes during elections, engagement sessions, or community meetings as required.
  • Any other duties as required.

Ideal Qualifications and Experience

  • Office Administration Certificate, or an equivalent combination of education and experience.
  • Minimum of two (2) years of administrative experience, preferably supporting a department, manager, or executive team.
  • Experience coordinating meetings, preparing documents, and maintaining records.
  • Experience working in a First Nations organization or with Indigenous communities is an asset.

Ideal Knowledge, Skills, and Abilities

  • Strong computer proficiency, including Microsoft Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • High attention to detail, accuracy, and strong organizational skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Ability to maintain a high level of confidentiality in the handling of sensitive information.
  • Strong ethical standards, integrity, and professionalism.
  • Cultural awareness and sensitivity, with knowledge of Saulteau First Nations community and protocols as an asset.
  • Understanding of governance processes, including policy development and Council procedures is an asset.
  • Ability to provide a satisfactory Criminal Record Check.
  • Valid driver’s licence and reliable vehicle may be required.

Work Conditions

  • Work is performed primarily in the office Monday to Thursday from 8:00 a.m. to 4:30 p.m.
  • Travel may be required within SFN community and surrounding community.
  • Manual dexterity required to use desktop computer and peripherals.
  • Wage Range - $28.00-$32.20 / Hr
