Job Purpose
The Tenant Relations Officer oversees tenant-facing services within the Housing Department and ensures tenant relations are managed in a consistent, fair, and respectful manner. The role serves as the primary point of contact for tenants and community members regarding housing inquiries, service requests, concerns, and complaints. The Tenant Relations Officer works to resolve issues promptly while ensuring housing policies and procedures are applied consistently.
This position manages tenancy-related matters including complaints, disputes, and concerns related to housing conditions, tenant conduct, and community impacts. The Tenant Relations Officer applies housing policies when addressing issues, issues written notices or warnings when required, and manages follow-ups related to rent arrears or payment arrangements.
The role works to resolve most tenant matters at the supervisory level and brings forward complex or high-risk situations to the Housing Manager when necessary.
The Tenant Relations Officer maintains organized tenant files, ensures accurate documentation of tenancy matters, and monitors trends or recurring issues that may require policy or operational attention. The role works closely with the Housing Manager and Housing Supervisor to ensure tenant concerns, operational priorities, and housing policies are aligned, supporting the effective delivery of housing services to the community.
Duties and Responsibilities
Tenant Relations and Community Support
- Serve as the primary point of contact for tenants and community members regarding housing inquiries, concerns, and complaints.
- Respond to tenant issues in a timely and respectful manner while ensuring housing policies and procedures are applied consistently.
- Provide information to tenants regarding housing policies, expectations, and available supports via community engagement.
- Works to resolve tenant concerns and disputes before escalation to the Housing Manager.
Tenancy Administration and Enforcement
- Apply housing policies and tenancy agreements when addressing tenant conduct, complaints, or housing concerns.
- Issue written notices or warnings when required in accordance with housing policies.
- Monitor rental arrears and follow up with tenants regarding outstanding balances.
- Support the development of payment arrangements and track compliance with agreed schedules.
- Identify tenancy issues that may require escalation and provide recommendations to the Housing Manager.
Tenant Records and Documentation
- Maintain accurate tenant files, documentation, and correspondence related to tenancy matters.
- Ensure tenant interactions, complaints, and enforcement actions are properly documented.
- Support accurate tracking of tenancy information and housing records.
- Coordination and Communication of housing related issues within housing operations
- Work closely with the Housing Supervisor to ensure maintenance concerns raised by tenants are communicated and addressed.
- Coordinate with housing staff to ensure tenant requests and operational priorities are aligned.
- Support the Housing Manager by identifying recurring tenant concerns or trends that may require policy or operational review.
Policy Compliance and Service Delivery
- Ensure tenant relations are managed in a fair, consistent, and respectful manner.
- Support the effective implementation of housing policies and procedures.
- Promote clear communication and positive working relationships between tenants and the Housing Department.
Ideal Qualifications
- Diploma in administration, social services, housing, or a related field
- Minimum three years of experience in tenant services, housing, or customer service
- Supervisory experience preferred
- Valid BC Driver’s License
- Provision of an acceptable Vulnerable Sector Police Information Check

Work Conditions
- Office work is performed primarily between the hours of 8:00 a.m. to 4:30 p.m. Monday to Thursday; overtime as required and approved.
- Travel may be required within SFN community and surrounding community.
- Wage Range: $32.26-$35.33 / Hr
