Job Purpose
The Medical Office Assistant (MOA) supports the physician and nurse practitioner, as well as other health care professionals, by performing a wide variety of clerical and administrative tasks. These include scheduling appointments, preparing and maintaining medical documentation, processing payments and maintaining basic financial records, photocopying, filing, answering phones, managing correspondence, and performing a variety of administrative and clerical duties.

Duties and Responsibilities
Health Care Administration
- Answer the phone, schedule and confirm medical appointments, greet patients, receive and communicate messages.
- Use health software, and other computer applications, to book appointments or prepare documentation.
- Prepare, edit, proofread, and maintain medical records, reports, correspondence, invoices, financial records, and other health-related documentation.
- Assist patients in completing intake forms, health history forms, and other required documentation.
- Complete insurance forms and other claim-related documentation.
- Process payments, bank documents, and accounts receivable records.
- Maintain electronic and hard copy filing systems, including records classification and management.
- Operate office equipment, including voice mail systems, photocopiers, fax machines, and document scanners.
- Maintain examination rooms by ensuring they are clean, organized, and stocked with required supplies.
- Escort patients to and from examination rooms, prepare rooms between appointments, and assist with setting up basic equipment and supplies for procedures.
- Use word processing, spreadsheet, database, and presentation software to prepare medical and administrative documentation.
- Coordinate referrals, specialist appointments, and patient follow-up appointments as required.
- Order, receive, and maintain inventory of medical and office supplies.
- Perform other related clerical and administrative duties as assigned.
Required Qualifications & Skills
- Medical Office Assistant Certification.
- Minimum 3 years of experience in a hospital, clinic, medical office, or community health setting.
- First Aid, CPR-C.
- Experience working with Electronic Medical Records (EMR) systems is an asset.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience working in a First Nations health centre, medical clinic, physician office, or community health setting is an asset.
- Honest, trustworthy, respectful, and compassionate.
- Possesses cultural awareness and sensitivity.
- Ability to build trust, serve as a positive role model and maintain confidentiality.
- Valid BC Driver’s License.
- Must provide a satisfactory Criminal Record Check, including a Vulnerable Sector Check.

Work Conditions
- Work is performed primarily in the office with hours of work set as 8:00 a.m. to 4:30 p.m. Monday through Friday.
- Wage Range: $29.28-$33.67
