Executive Assistant-Project Coordinator

The Treaty 8 Tribal Association provides a range of advisory and support services for its member First Nations in Northeast British Columbia.

The Executive Assistant will be highly organized and proactive to support the Executive Director. The ideal candidate will be detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.

The Project Coordinator role will lead and support the planning and execution of cultural events that celebrate diversity, creativity, and community engagement. This role is ideal for someone passionate about arts and culture, with strong project management skills and a flair for event coordination.

Key Responsibilities

  • Handle confidential information with discretion.
  • Provide high-level administrative support to Executive Director, including calendar management, travel arrangements, and meeting coordination.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and manage executive schedules, including meetings, appointments, and events.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Assist in the preparation of reports and presentations for board meetings and other executive functions.
  • Support special projects and initiatives as assigned.
  • Coordinate and manage cultural events such as festivals, exhibitions, performances, and workshops.
  • Liaise with artists, performers, vendors, and community stakeholders to ensure smooth event execution.
  • Oversee logistics including venue booking, permits, catering, transportation, and equipment.
  • Develop project timelines, budgets, and promotional materials.
  • Ensure compliance with safety, accessibility, and cultural sensitivity standards.
  • Track event performance and prepare post-event reports.
  • Support marketing and outreach efforts through social media, newsletters, and community engagement.
  • Maintain comprehensive documentation and records for each event.
  • Manage expense reports and reimbursements.

Qualifications

  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Certification in project management is an asset.

Preferred Skills

  • Proven experience coordinating cultural or community events.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively.
  • Discretion and professionalism in handling sensitive information.
  • Proven experience as an executive assistant or similar administrative role.
  • Familiarity with local cultural communities and networks.
  • Experience with budgeting, reporting, and grant writing.
  • Creative problem-solving and adaptability in dynamic environments.

Terms of Employment: Permanent, full-time position from 8:00 am – 4:30 pm

Wages & Benefits: $60000.00
